Integrating With Other Software Using Zapier
Integrating your CallTrackingMetrics account to software that CTM does not directly integrate with is easy using Zapier’s trigger system. To get started, simply set your “zap” at zapier.com, choosing CallTrackingMetrics as the trigger and the other program as the action. To set up some triggers, you will need to subscribe to Zapier’s premium service. You can view all of the programs Zapier integrates with here.
Zapier says a zap is “a connection, or integration, between two apps that automates your workflow”. A zap is made up of a “trigger” (e.g. when I receive a new email in Gmail) and an “action” (e.g. sent an SMS message). Zaps run automatically to move and manage data without any work on your part. Only “On” Zaps count against your limit.
In CallTrackingMetrics, zaps are triggered when a call is ended.
Zapier has several plans which range from free to $125 per month. You can choose which plan is best for you. Each plan has a limit on how many tasks can be done per month, how many Zaps can be created, and how often the Zaps will run. The more you pay, the more you get. You can check out their plans here.
One limitation with Zapier is that it is a fire-and-forget tool. If you want to use Zapier to integrate with Salesforce (a premium zap), then it will not be as efficient as if you upgraded to our Advanced plan and used our direct integration with Salesforce. It will not be as efficient because with our direct integration, we search through the contacts to see if a lead has called in and will update the contact. With Zapier it will simply create a new contact so you may end up with duplicates.
Creating a Zap
Note: This example uses Google — not all Zaps are the same, so just follow the steps
Once you have created your Zapier account, you can click on the Make a Zap! button in the upper right hand corner of their navigation:
That will take you to the following screen:
Next you will want to choose “Trigger app…”. This is where you will search for CallTrackingMetrics:
After you have chosen CallTrackingMetrics, choose a trigger (hint: it’s New Call In)
Next you will choose an Action app (or where you want this to send to):
Then you will choose what you want it to do. For this example, Sugar CRM has more than one action you can do, but since that is premium we will use Google Sheets
Once everything is filled out, press Continue:
That will take you to step 2 where you can Connect your accounts:
If your account is not already connected and you press the Connect a CallTrackingMetrics Account button, you will get a pop up to fill out:
Once you have done that and see that your account is working, press the Continue button:
Connect your other software in a similar fashion. Google asks what account you want to connect to and asks for your permission:
If you have your account linked already, you can click the Test this Account button:
Verify that your account is working:
Next you can create a custom filter. A custom filter will only trigger when it matches the given filter:
The following is a blank custom filter for when two things happen, so when 1 AND 2 happen OR if 3 happens this trigger will occur.
Next in section 5 you will match CalltrackingMetrics into your new Google Sheets
( In this example I created a Zapier test sheet in google docs with nothing in it it gave me the following)
It also gave me a _cn6ca (optional) where i choose which fields to enter these appear to be all of the information we get in ctm)
Then you can hit Continue to step 6 where it says Test this Zap
it will give you some examples to test the zap with
After you tested your zaps and they work, you can then name you zap and turn it on
And you have created your first zap!
Again please note that this was an example each Zap is different and can have different amount of steps.
